How to Bulk Download File Properties in HubSpot

To bulk download file properties in HubSpot, you need a tool that turns the file IDs stored on your records into actual downloaded files — because HubSpot's own exports won't do it. The fastest route is FileFetch, our HubSpot Marketplace app: pick an object, choose Stored in a file-type property as the source, select the properties you want, filter your records, scan, and download one organized zip.

This guide walks through that flow step by step, plus what file properties actually are, why the native export leaves you with a column of links, and how the zip comes out named so you can tell two thousand PDFs apart.

What is a file property in HubSpot?

A file property is a field on a record that holds an uploaded file instead of text or a number. If your portal has a Signed Contract property on deals, a W-9 property on companies, or a Receipt Photo property on tickets, those are file properties. They usually get filled three ways:

  • Form uploads. A file-upload field on a HubSpot form writes straight into a file property on the contact — and one property can hold several files from the same submission.
  • Manual uploads. A rep drops the signed agreement into the property when the deal closes.
  • Integrations. E-signature and proposal tools often write the executed document back to a property.

That makes file properties the home of exactly the documents people eventually come asking for in bulk: contracts, tax forms, IDs, receipts, applications. Note they're distinct from attachments, which hang off a record's notes and activities — we cover those in the attachments guide.

Why doesn't HubSpot's export give you the files?

HubSpot's export tool exports property values. For a text property that's the text; for a file property it's a reference to the file, not the file itself. So the spreadsheet you get back has a column of links — and each one still needs to be opened by someone logged into the portal, one click at a time.

For ten records, fine. For a thousand deals with signed contracts, that's a thousand authenticated open-save-rename cycles, with no way to prove you got them all. Bulk downloading file properties means something has to walk every record, resolve each stored file ID to a real download, pull the file, and name it so you know which record it came from. That's the job FileFetch automates.

Step by step: bulk download file properties with FileFetch

The whole run takes a few minutes:

  1. Install FileFetch from the HubSpot App Marketplace. It connects through HubSpot's standard OAuth screen with read-only scopes, and the Free plan (100 files a month, no card) is enough to test the flow. The setup guide covers install in detail.
  2. Open FileFetch — from the FileFetch tab on any record, or from Settings → Integrations → Connected apps → FileFetch.
  3. Choose "Download from all records" and pick your object: contacts, companies, deals, tickets, or any custom object. FileFetch reads your portal's live schema, so custom objects just show up.
  4. Pick the source: "Stored in a file-type property." Then select which file properties to include — just Signed Contract, or every file property on the object.
  5. Filter the records. Any property, with HubSpot's full operator set — close date ranges, pipeline, owner, lifecycle stage, combinable like a HubSpot list.
  6. Scan. FileFetch tells you exactly how many records and files match before anything downloads. Nothing counts against your allowance until you click Download.
  7. Download. Your browser saves one zip, with a log of everything fetched, skipped, or failed. Very large runs split into zip parts automatically.

How the files come out named

Every file in the zip is named by its record and property — Acme_Corp_Signed_Contract.pdf, not document (47).pdf. When a form upload stored three files in one property, you get all three, still traceable to the contact that submitted them. The included log lists every file with its outcome, which is the difference between "I think we got everything" and an answer you can hand to legal or finance.

Every run is also recorded in the app's Insights tab — who downloaded what, from which object, when — so admins keep an audit trail without doing anything extra.

Limits worth knowing before a big run

Two numbers matter. First, HubSpot's search API returns at most 10,000 records per filter set — bigger pulls just mean splitting into two or three filter sets by date range or pipeline and running each. Second, your monthly file allowance: Free covers 100 files a month, Starter 5,000, and Pro 40,000. If a run would go past your allowance, FileFetch shows you the usage and cost first — overage is only ever billed after you approve it in the app, so there's no surprise invoice. Plans and pricing are on the FileFetch page.

We built FileFetch at Market Disrupt, a HubSpot Platinum Solutions Partner, because this exact request kept coming up on client projects. Files move from HubSpot's signed URLs straight to your browser — they never touch our servers. Weirder requirement? Tell us about it.

Frequently Asked Questions

How do I download all files from a HubSpot file property at once?

Use a Marketplace app built for it. FileFetch lets you pick an object, choose file-type properties as the source, select which properties to include, filter records like a HubSpot list, and download every stored file into one zip named by record and property — no code or API work required.

Does HubSpot's native export include files from file properties?

No. HubSpot's exports contain property values, and for a file property that value is a reference to the file, not the file itself. You end up with a spreadsheet of links that each require an authenticated click — to get the actual files in bulk you need the API or a purpose-built tool.

Can I download files from form upload fields in HubSpot?

Yes. HubSpot form file-upload fields store submissions in file-type properties on the contact record, and one property can hold several files from a single submission. A bulk run over that property pulls every submitted file, each named after the contact it belongs to.
